Items

The item catalog: list, filters, creating and editing items, and the item detail page tab by tab.

The item list

Items (Operate group) is the catalog. The list shows SKU, name, manufacturer, category, and live stock figures — on hand, reserved, available — with status chips. Quick filters cover the common slices (Active only, Low stock, Discontinued, Updated this week); press / to search by name, SKU, or barcode.

Every filterable column carries its own filter, right in the header — open it to pick from the column's complete list of values across your whole inventory, not just the rows on screen. Column filters combine with the quick filters and with each other, and they stay fast in catalogs with thousands of items.

Advanced filter opens the full filter builder — combine category, manufacturer, tags, custom fields, and stock conditions. Any configuration of filters, columns, and sorting can be kept with Save view; shared views make a team-wide default possible. The Columns menu chooses visible columns and Export downloads the current list as CSV or XLSX.

Combine any filters, then save the view for reuse.

On a phone, the list starts with compact item summaries. Open Filters & views for the filter and view controls, or choose Full table to use the column headers described above. Your saved desktop settings are preserved. See mobile inventory for the phone layout.

Create an item

New item opens the create form. Three fields matter most:

  • Name — plain language, recognizable on a small screen. Keep locations and suppliers out of it; both are tracked separately.
  • SKU — the stable identity used in searches, imports, and the API.
  • Unit of measure — the unit stock is controlled in (pcs, m, kg…). Don't create a second item for a pack size; unit conversions handle that.
Identity first — everything else can come later.

Everything else is optional: category, tags, a manufacturer and MPN, a barcode (the manufacturer's, or generate a label later), purchase details (supplier, cost, currency), serial or lot tracking for traceable items, and custom fields defined by your organization.

The item detail page

On a phone, use Item section to switch between the sections below. Stock records appear as cards with their location, quantity and available actions.

Opening an item shows the header — status, SKU, manufacturer, unit — with the on-hand / reserved / available summary, and actions to Edit, Reserve, Clone, or Save as template. The tabs:

The Stock tab is where daily work happens — every location row carries Adjust, Move, Quarantine, and Cost actions, covered in stock operations.

Edit and lifecycle

On a phone, More item options opens the optional fields in both create and edit forms. Closing it keeps your entries; validation opens it when a field needs attention. Save and Cancel stay at the bottom of the screen.

Edit opens the same form as creation; unsaved changes are guarded against accidental navigation. Keep SKUs stable — downstream references (labels, imports, integrations) rely on them.

Items are archived, not deleted, once they have history: archiving hides them from daily lists while keeping every movement accountable. Cloning copies the definition (not the stock) when you need a similar item, and Save as template turns a well-configured item into a starting point for future ones.
