Variants, relationships and alternates, templates, duplicate detection and merging, bulk editing, and data enrichment.
Variants
When one catalog item exists in several concrete forms — sizes, colors, grades — model them as variants on the item's Variants tab rather than separate items. Stock records, movements, and reservations all carry the variant, so "M6 bolt, A2" and "M6 bolt, A4" share one catalog entry but count separately. Use variants when the forms are interchangeable in purchasing and reporting; use separate items when they aren't.
Relationships and alternates
The Relationships tab links items that substitute for each other. An alternate is a drop-in replacement — pickers see alternates with their live stock when the requested item is short, and BOM lines can carry approved alternates. Keep the relation honest: link only items your operation genuinely accepts as substitutes.
Item templates
Save as template on any item stores its configuration — category, custom fields, units, tracking flags — as a starting point. Templates show up when creating items, which keeps a large catalog consistent without retyping the same structure.
Duplicate detection and merging
Items → Duplicates lists pairs the duplicate detector considers likely duplicates (matching or near-matching names, identifiers, or barcodes).
For a real duplicate, Merge consolidates the pair: stock, movements, links, and attachments move to the surviving item, and the merge is recorded in the audit trail. Merging is significant enough that your organization may require approval for it. Dismiss false positives so they stop reappearing.
Bulk editing
Select rows in the item list to get the bulk action bar, then Bulk edit to change category, tags, status, or custom fields across the selection in one operation. Bulk changes are audited like any other edit. For very large changes, consider an import instead — it gives you a preview and a row-by-row error report.
Enrichment
When creating electronics items, the part-number lookup can fetch manufacturer data — descriptions, parameters, datasheets — from the part number, and datasheet enrichment extracts fields from an uploaded datasheet. Both fill the form for your review; nothing is saved until you save. (Availability depends on your plan's scanning and enrichment capabilities.)
