Reports overview

The reports hub, shared report controls, exporting, and how to investigate a number you don't believe.

The hub

Reports (Admin group) collects every report by category — stock, movements, purchasing, projects, tools, compliance — with your recently used reports on top. Reports your plan or role doesn't include show a lock instead of disappearing, so you know what exists.

Start with a question

A report is an answer, so define the question first: which site, which period, which items, and which measure (quantities, value, or both). Then pick the narrowest report that answers it — current state questions go to stock reports, "what changed" questions to movements and counting.

Shared controls

Every report page uses the same controls: server-side filters, a column menu, sorting, and an Export button producing CSV or XLSX of exactly the current result. Filter before exporting and confirm the row count — an export is a snapshot, and the export should carry the identifiers (SKUs, codes, dates with time zone) needed to reconcile it later.

For recurring needs, schedules deliver a report on cadence, and export jobs handle full-dataset extracts in the background.

Investigating a number

When a figure looks wrong, don't re-run the report — follow the data:

  1. Open the item (or location) behind the figure.
  2. Read its slice of the movement ledger in time order — receipts, moves, picks, counts, adjustments.
  3. The actor, reason, and references on each movement explain the change, or point at the one that needs reversing or correcting.

The audit log answers the same question for non-stock records — settings, users, and configuration.
