Counting

Count tasks, blind counts and thresholds, executing on desktop and mobile, variance review, and cycle-count schedules.

Count tasks

A count task freezes a question — "what is actually in Rack A?" — into a worklist. Counting (Flows group) shows every task with its state: pending, in progress, awaiting approval, completed. Filters cover your open tasks, overdue ones, and those awaiting approval.

Create a count

New count scopes the task: by location (with or without sub-locations), by items, by category, a spot check, or an audit. Options that matter:

• Blind count hides expected quantities and variance hints from the counter — better data when you want unbiased numbers.
• Variance thresholds (units and value) route large discrepancies to a review step instead of posting straight away.
• Assignment and schedule put the task on someone's list by a date.

Execute

Starting a task snapshots the expected stock into lines. Count location by location, entering observed quantities per line; items found where nothing was expected are added as found lines. Enter zero when an expected item is absent — skipping a line and counting zero are different answers. On the regular execution page, quantities save online when you leave the field. Post comment adds discussion to the task.

For a mobile spot count, open Floor mode → Count stock → Scan location to start while online. Scanning the location creates and starts a new count. Tap an item or scan its label to open the number keypad, enter the observed quantity, then tap Save. Submit count finishes entry and applies the review rules below. Start the count online before testing offline quantity saves; Saved offline means the entry is queued for synchronization.

Submit, review, approve

Submitting a normal within-threshold count posts count-correction movements immediately and completes the task. Blind counts and threshold-breaching counts go to awaiting approval: a reviewer walks the variance lines — approve, reject, or override each with a reason — then approves or rejects the task. Only approval posts the corrections, and each correction is a ledger entry like any other.

Counts also refresh each stock record's confidence indicator, which is what the confidence report and "recently counted" markers are built on.

Cycle counting

Settings → Cycle counts automates recurring counts: a rule with a cadence (daily to quarterly, or cron), a scope, an assignment strategy, and optional thresholds creates count tasks on schedule — steady small counts instead of a painful annual stocktake. Run now fires a rule immediately.
